This Privacy Statement tells you what to expect when the Remote Learning Group collects your personal information, provides information about individuals’ rights and how it applies to the information we collect about:

Visitors to our Website

When someone visits our website, we use a web collection service, to collect standard internet log information and details of visitor behaviour patterns whilst their visiting our website. We do this to find out things such as the amount of visitors to the various sections of the website. This information is processed in a secure format in which it does not identify anyone. We do not make any attempt to find out the identities of anyone visiting our website. If we do want to collect personally identifiable information through our website, the website’s Contact Form, used by you with your consent, will be our only means of collecting your personal information. In turn, this will not be shared with anyone outside of our organisation, unless you have given written consent to do so. We will make it clear when we collect your personal information its purpose, and we will explain what we intend to do with it.

Submission of your Information

Submission of your information, requested, from our website is held on our secure encrypted server platform. This is protected by all methods necessary in line with General Data Protection Regulation (GDPR (EU). Only authorised Remote Learning Group’s members of staff have access to this information and our systems. Your information will only be used for the stated intended purposes and will not be shared outside of the Remote Learning Group, unless you have given consent to do so. Your consent to share your information will be sought at the time of you submitting your data.

Our Complaints & Complements Procedures

Should you wish to make a complaint our Complaints Procedure is available via the following link: Complaints Procedure. All information received during the course of a complaint is handled with the same level of security protection and privacy, as with any other information we collect.

The Remote Learning Group use information provided by you to deliver our services and/or products to our customers. This data is only used for its intended and stated purpose. This can include financial information for the production of invoices and/or receiving payments for professional services provided.

Protecting your Information

In order to protect your information, we have in place the following methods of protection:

  • The highest levels of Firewall Protection and Antivirus Software monitored 24/7, 365 days a Year.
  • Malware Protection on all online platforms.
  • Encryption on data at rest and at point of use.
  • Continuous Encrypted Server Backups.
  • Kaizen Approach to our Management Information Systems (MIS).

Our Information Backups

The Remote Learning Group have a backup policy in place. We retain backups for a maximum of six month. Upon receiving a written request to remove data of a personal nature, this will be completed by removing all references and data from the organisations environment. The full deletion of this data will be achieved after the retention period stated above has been reached. Were data backups are indefinitely retained then we have a robust system in place to remove data from our backup system.

Requests for your Information

We will respond to written requests for the information we hold on you within the required 30-day period. Initial requests will not be charged. However, should more than 2 requests be made within a 3-month period of time, subsequent requests will be charged at £10.00 per individual request.  All the information requested will be provided as a Portable Document Format (.pdf) file with password encryption.

Our Marketing & Promotion Information

The Remote Learning Group collect information from various sources for marketing and promotional purposes. This information can be from Social Media platforms, and/or educational and industry forums to name but a few. We only retain this information for a period of no more than 18 months, or the duration of the marketing and promotion campaign.

Sharing Information

The Remote Learning Group share information with the following external organisations for legal, auditory and commercial purposes:

  • Pearson BTEC
  • Turnitin UK
  • Universities and Colleges Admissions Service (UCAS)
  • Students Loan Company (SLC)
  • Office for Students (OfS)
  • Higher Education Statistics Agency (HESA)

Information is shared with organisations primarily within the UK and EU aside from the partnership with Pearson which is held Worldwide.  The exception to these criteria’s is the sharing of information with UK authorities for investigatory purposes, as per current UK legislation.

Our Suppliers Information

The Remote Learning Group is aware that sometimes information with regards to our suppliers is personal in nature. This information is protected to the full extent, as with any other information within our organisation. This information is not shared unless express written permission is granted by the supplier and/or individual.

Recruitment/Job Applicants

When the Remote Learning Group receives job applications, we hold these in a secure digital manner. The application forms are deleted or, in the instance of hard copies (which we do not accept and/or produce for eco-logical reasons), they would be shredded after the selection/recruitment period is successfully completed. Application forms are not shared outside our organisation and are only shared internally with designated members of staff. Were information of an applicant is to be retained for future use, only the contact information will be retained and written consent from the applicant will be sought prior to the retention of any personal contact information.

Our Current Members of Staff

All personal information held by the Remote Learning Group on current members of staff is managed and maintained in a secure digital manner, the same as any other information we hold. All of our members of staff have the right to view the information we hold about them at any time. A formal written request by the current member of staff is required for this information.

Our Former Members of Staff

All personal information held by the Remote Learning Group on former members of staff is managed and maintained in a secure digital manner, the same as any other information we hold. Should a former member of staff wish to view the data that we hold on them a formal written request is required. Personal information held on former members of staff is retained for a period no longer than 3 years after the end of employment, in line with current UK legislation. After this period of time all the information on the former member of staff is deleted. If requested, a written confirmation of the ‘personal information deleted’ can be sent to the former member of staff.

Reporting of Data Breaches

The Remote Learning Group reports all major data breaches, for the data we have control of and are responsible for, to our customers and/or suppliers and to the Information Commissioners Office (ICO). All potential data breaches are fully investigated as per our Information Security Incident Policy.  If and when a data breach is detected, and the severity of the breach ascertained, it would then be reported to the ICO within 72 hours.

Our Security & Protection

The Remote Learning Group take security of all of our information seriously, as such, our systems are monitored 24 hours a day, and audited and verified on an annual basis, in line with current UK legislation and GDPR (EU).
